This how-to guide is for Work Experience (WEXP) and Industry Placement (IP) coordinators using the Navigate T-Levels Module. It walks through creating, approving, managing, and completing a T-Level industry placement.

Logging in
Log in to Navigate by clicking Sign in using Microsoft or Sign in using Google.
Enrolling your students onto their T-Level course
- Click the Number Of Students bubble on your homepage.
- Click the My Students filter and select All Students.
- Use the remaining filters to identify the students you'd like to enrol onto a T-Level course.
- Use the top-left tick box to select your students, then click Actions on the right-hand side and Enrol on T Level Course.
- Add the details when prompted, including the course, start and end dates, and the names of the tutor and placement coordinator.
Accessing the Placements module
- Click the homepage after logging in.
- Click the Quick Links button at the top of the page and search for a student or employer, or click the Placements module on the left sidebar.
Creating a placement
- Click Add Placement at the top of the Placements page.
- Select T-Level industry placement.
Filling out the placement form
- Learner details: find the student, confirm the auto-populated tutor group and department, add student and health & safety medical notes, and set parent approval.
- Employer details: search for an existing employer or add a new one, select a manager, and set email preferences (we advise sending to both the employer and yourself).
- Placement details: add the placement coordinator, planned hours, placement type, location type, daily break and travel times, paid status, role title, description and objectives, and the dates and times.
- Placement targets: click Add Placement Target and enter three employability and three technical goals, each with a name, completion date, and description.
- Click Save once all details are filled out. Tip: use Duplicate for multiple students going to the same employer to save time.
Approving a placement
- From the Placement Administration Dashboard, select the Placement Agreement milestone.
- Next to College Review and Approval, click View Data to view the automatically populated Placement Agreement form, then click Approve.
- Go back to the milestone and click Send Form next to the Employer, Student, and Parent (if applicable) tasks. These parties receive an email with the same form and can approve with one click.

- Final Review – at 70% of placement
You can assign placement agreement tasks to different staff members: click the envelope icon, add the new task owner's name in the Task Owner box, and Navigate will notify them.
Placement is live
Once the milestones are completed, the placement goes live. The learner can view the placement details from their Navigate site and complete daily journal entries once the placement has started.
Student confirmation of attendance
- Students log into their site and click the Placements module.
- They fill out placement details if requested to find their own placement, and complete pre-placement checklists with yes/no questions.
- Once the placement begins, students log daily attendance: locate the placement and click Confirm attendance and complete journal. Clicking I attended lets them provide activity details and upload photos, videos, and reflections from their phone; clicking I did not attend lets them give reasons via a dropdown.
- Forms are sent weekly in arrears for the employer to confirm student attendance.
Completing a placement
- Both student and employer complete feedback forms at the end of the placement.
- In the Completion tab in placement details, the coordinator marks the placement as complete after reviewing final details and ensuring all data is logged accurately.
- To give students access to add further details after completion, go to the placement, click Completion, then Reset Status. The placement becomes editable again; follow the completion process to mark it complete when ready.
