Email communication with employers

Created by Chris Rowe, Modified on Fri, 13 Sep at 8:22 AM by Chris Rowe

Navigate sends the employer emails to (1) request the placement, (2) track attendance, and (3) gather feedback.

You can enable/disable this function in the placement record under the 'Employer Work Placement Manager section.' View 'How to: edit a placement record' to find out more.

(1) Requesting the Placement

Once the placement has been internally approved, Navigate sends out an email to the employer to request the placement. This email includes details about:

- The Student such as notes that you've added against the student.

- The Employer such as the organisation address and contact details of the employer work placement manager.

- The Placement such as the placement planned hours, the placement description and objectives, and the time and days when the placement will take place.

At the bottom of the email, the employer can choose to either accept or reject the placement.

This information is fed back into Navigate and updated in the placement record.

(2) Tracking Attendance

During the placement, Navigate will send emails to the employer every Monday morning to track the student's attendance for the previous week.

Note: If the employer did not fill out the attendance form for one of the weeks, the days from that week are automatically transferred onto the next attendance email.

- 'Attended' or 'Authorised Absence' = 100% of the placement hours for that day will be recorded in Navigate.

- 'Partial Attendance' = 50% of the placement hours for that day will be recorded in Navigate.

'Did Not Attend' = 0% of the placement hours for that day will be recorded in Navigate.

Data about the hours confirmed by the employer is fed back into Navigate and displayed in the placement record

(3) Gathering Feedback

At the end of the placement, Navigate sends the employer a feedback form. The employer can provide feedback about:

- The student's employability skills including the students time-management, presentation, ability to work independently, with others, and with customers, interests and motivations, and ability to problem-solve.

- The Placement Programme at the college.
